A taste of what you’ll do:
- Greet and welcome clients and visitors with a positive and helpful attitude
- Assisting clients and visitors with signing in and out of the offices, as well as in finding their way around the offices
- Ensure that company offices and apartments are extremely organised, tidy, and presentable at all times as well as meeting high standards of hygiene
- Answer and direct incoming phone calls
- Assist with events coordination, both internally and externally
- Schedule meetings/appointments/interviews, and reserve meetings rooms and update calendars, as applicable
- Onboarding tasks such as coordinate, prepare and set up the Induction Room, record company induction on new employee’s Bamboo profile, desk and chair allocated in a welcoming manner, take photo of new employee
- Offboarding tasks such as clearing out workstations for employees leaving
- Control the air conditions for all floors to set limits and ensure that lighting is on for all floors
- Administer relationships with external suppliers of office supplies, arrange couriers, and other services ensuring adequate service levels and cost efficiency
- Receive and distribute daily mail/deliveries
- Assist with travel arrangements based on employee’s needs, always in a timely and cost efficient manner
- Be in charge of taxi bookings and taxi procedure
- Provide any reports relevant to the reception and office, upon request
- Assist with the relocation of new hires when necessary
- Be a First Aider and Fire Warden and in collaboration with the Facilities Manager ensure we met Health and Safety requirements and standards
- Liaise with the landlord of company apartment
- Provide updates to all employees regarding any changes in the office that may affect them
- Suggest ways to improve the experience of the office for our employees
- Collaborate closely with the HR and Office team, providing support to the HR department in recruitment processes and other tasks as needed.
- Any other task/responsibility which may be related and/or connected to the role of Receptionist & Office Assistant
Who and what we are after?
- Ideally, Qualification in Health & Safety, First Aid, Food Handling, Fire Warden or similar
- Excellent communicator in English both verbal and written format
- Can adapt their style of communication to any audience
- Ability to anticipate the needs of others always
- Flexible and adaptable to a changing environment
- Fantastic interpersonal skills with the ability to interact with everyone in and out of the organisation
- Excellent time management skills
- High attention to detail and extremely organised
- Adept with Microsoft office suite
- Excellent problem-solving skills by being proactive and presenting solutions
- Possess a positive and inspiring attitude
- Thrive working in an environment that can be chaotic and hectic at times but loves the challenge of it
- Ability to work independently and “roll up your sleeves” to make things happen
- Enjoy an environment where there is not a process for every single thing – uses own initiative
